Snapshot of the rules
A commercial fire-alarm system lives under three documents:
BS 5839-1 (current revision) – technical bible that demands a user test every week and a competent-person service at least every six months.
Regulatory Reform (Fire Safety) Order 2005 – makes the “Responsible Person” legally liable for keeping the alarm in working order and recording evidence.
Fire Safety (England) Regulations 2022 – extends that evidential duty and ties it to potential enforcement action by the local Fire & Rescue Service.
Miss those obligations and you risk an Enforcement Notice and a stinging insurance excess hike.

1. Weekly user test — the 3-minute drill
Pick a different manual call-point each week and announce the drill to staff and your alarm-receiving centre.
Insert the test key, hold for five seconds, let the sounders ring.
Walk the floor or phone a colleague to confirm the alarm is audible everywhere, including toilets and plant rooms.
Silence and reset the panel, then record the date, time, call-point location and result in your logbook.
Report any tone failures, panel faults or sounder issues immediately.

2. Monthly manager walk-through
Check every detector and sounder is free from paint, dust caps and Christmas decorations.
Confirm the panel’s power lights are green and that no faults or disabled zones are showing.
Make sure manual call-points are visible, under 1.4 m from finished floor and not blocked by merchandising.
Verify spare panel keys and test keys are where they should be.
Total time: about five minutes per floor.
3. Six-monthly engineer service — what a competent person actually does
Opens each loop, measures resistance and insulation, then reinstates.
Tests at least half the total devices this visit and the other half on the next one.
Load-tests standby batteries and replaces them if capacity has dropped below 80 percent.
Triggers the auto-dialler and checks the monitoring station answers inside 90 seconds.
Uploads firmware updates on addressable panels such as Honeywell Gent Vigilon or Kentec Taktis.
Issues a BS 5839-1 service certificate plus an updated cause-and-effect chart.
Hot tip: insist on a Honeywell-trained engineer if you run a Gent system—generic contractors may void the manufacturer warranty.
4. Annual tasks that often get missed
Test 100 percent of detectors, call-points, interfaces and relays.
Re-measure sound-pressure levels; sleeping-risk areas must hit 75 dB(A) at the pillow.
Clean optical chambers in dusty or high-ceiling zones.
Revisit your fire-risk assessment to make sure the detection category (L1, L2, L3, etc.) still reflects how the building is used.
5. Common fail points and quick fixes
Sounder circuits left disabled after nuisance alarms – solve it by relocating or swapping detectors for multisensors.
Expired standby batteries – anything older than five years is living on borrowed time; budget for proactive swaps.
Staff who don’t recognise the tone – run a five-minute desktop drill every quarter and a full evacuation every six months.
Paper logbooks that disappear – switch to a cloud logbook so certificates and service sheets live in one searchable place.

Weekly test by in-house staff: free apart from three minutes of payroll.
Six-monthly service for up to 200 devices within Manchester / Leeds radius: roughly £395 + VAT.
Replacement loop battery set (24 Ah addressable panel): about £140 + VAT installed.

7. Frequently asked questions
Do high-risk sites ever need quarterly engineer visits?
Sometimes. BS 5839-1 allows shorter intervals if your risk assessment justifies it—for example, cold-storage logistics hubs or process plants with severe consequences of failure.
Can I combine the six-monthly alarm service with my emergency-lighting test?
Absolutely. We do a combined visit, cut travel emissions and hand you a single certificate bundle.
Will the engineer shut down production lines?
Rarely. Each loop is isolated for only a few minutes. Most offices and warehouses stay operational throughout the service.
